Continue the recruiting efforts. Messaging people individually is the most effective way to do this during the summer. Be clear about what you’re asking them to do!

EVENING EVENTS

This is a great time to review the plans so far, what still needs to be planned/booked, and making sure team members know what they are each responsible for.

FACEBOOK GROUP

Regular updates in the closed facebook group (at least once every three weeks) reminds people they’ve committed to this and keeps them involved in the process.

PLAN THE FOLLOW UP

Speak to others in the CU to make sure the follow up from the IWW means that International Students will be served best by the CU’s main meetings and groups.

CHECK IN REGULARLY

Staying in close contact with the Student Union and Transformations Leeds helps keep things running smoothly and means unexpected changes are handled quickly.

FINALISING DETAILS & ORDERING FLIERS:

  • Confirm Details - Having the correct times, locations, and contact details on the fliers is crucial. Without them it creates confusion for International Students that spirals much more quickly than you might think.

  • International Friendly - Every culture is different and there are a lot of things that work great for marketing to British people that might cause huge problems when marketing an event to International Students. That’s why Transformations Leeds is very happy to lend our expertise by having a look at your initial flier and offering suggestions and alterations that will help you reach International Students as effectively as possible!

  • Save Money - You’ll want to get the fliers printed and delivered before September so that you can give some to the International Office. Solopress is a great option with fast shipping. It’s best to have these in hand ASAP.

TASKS THAT ARE OFTEN OVERLOOKED: 

  • Risk Assessment - The Student Union will ask for this. You can generally use last year’s assessment.

  • Marquee Items - Make sure that you have tablecloths, a world map, chalkboard(s), plates/cups/cutlery that won’t blow away, a comments book, a plan for hot drinks, and anything else you need for what you’ve planned. 

  • Team Communication - Make sure your team knows when they need to be where with a clear schedule.

  • Sub-Teams - It’s worked great dividing the large team into smaller teams. Usually teams of 4-5 are best.

  • Double Check - It never hurts to double check that you haven’t missed anything. We’re happy to help with this!
